TAM Docents: Tracking your time as volunteers

Hello Docents-

Some competition is in the air already for the Volunteer Appreciation event in April. I have received some questions about how I factor in hours for the STAR Volunteers. As I explained some items that were not known, I figured I would give you all a heads-up on how to maximize your hours as volunteers.

 

The fiscal year (where I start counting from) starts in July and that is when I start tracking your hours for Volunteer Appreciation. The 75 hours cut-off point we use for the STAR Volunteers was determined based on more than 2 4-hour shifts per month in that timeframe (9 months, 2 4-hour shifts = 72 hours) which is why you would be a STAR volunteer if you gave more! Docents should usually not have any trouble being STAR Volunteers if you are coming for regular shifts plus trainings.

If you participate in any event generated by the docent or volunteer program (like glassblowing, an offsite studio tour or other type of tour, lunch with Nancy Fullerton later this month) you can count that time as volunteer time. Even though you are having fun, you are probably learning something! Do not assume that I keep track of any off-site hours you may do as I only track the time you submit in the sign-in book at the back door. If you want to have your Chihuly Boathouse tour time (including travel time!), you need to write it into the book, including the date, and I will then make sure it gets recorded. If you cannot remember that long, just send me a concise email with the event, date, and time and I will get it into the database for you.

TAM Docents: Speak about our exhibitions off-site

Hello Docents-

We have an opportunity for you to speak about our current and upcoming exhibitions offsite on December 14 from 10:30 – 11:30 am at Cottages of Peach Creek for an organization called WICS, a group for widows and widowers. They expect between 10 – 15 participants and we would love to have you represent the museum. If you are able to give this presentation in University Place, I will give you the address and a phone number. Lisa McKeown, Communications Coordinator will also prepare a PowerPoint for the presentation that you can take with you and I would be happy to compile some programming materials. Please let me know if you are available.

TAM Docents: Docents needed on Monday, Oct 24

TAM Docents: Public Docent Tours of Mexican Folk Art

Hello Docents-

I am looking for your feedback and commitment to creating some public docent tour times for the Mexican folk art exhibition. I would like you to tell me what days and times you would like to offer these tours (the easiest way is to pick a time you are already scheduled for your shift and let me know what time of day you would prefer) and I will make sure we get them on the event calendar and the website for promotion. We had some hiccups with the method where I let you know the days and times so we will try it this way and see if it works better. These will be tours that visitors pay for like we have had with Rockwell and Chihuly. Please get tour time preferences to me in the following format:

TAM Docents: Docent Lunch Invitation

Hello Docents-

Following the October 28 training on the Mexican folk art exhibition, we have been invited to come to a no-host lunch at El Toro Mexican Restaurant with Stephanie and Nancy Fullerton from the San Antonio Museum or Art. That will be starting at 12:30 pm and the location is 1128 Broadway Plaza right in downtown Tacoma. For those able, it is walking distance away (1/4 – ½ mile?) or plan to drive and pay for downtown parking (2 hours max for $1.50, I believe). If you are interested in joining in the fiesta, please RSVP ASAP so that I can book seating accordingly.

Dear all,

I am very pleased to announce that we are almost ready to launch online access to our collection database known as eMuseum. We will launch with about 10% of the collection (some 300 objects) and continue to add new records every week until all 3800 objects are online.

 

Before we make the database widely available to the public, we want to make sure that it is as user friendly as possible and we’d like your help.

 

We are asking any of you that might be interested to give us 1 hour of your time as an eMuseum tester. You will be asked to run through a group of tasks on eMuseum while our evaluators, Lauren Faulkner and Peter Reilly, observe and take notes. They will also talk with you afterward to get any other feedback.

 

If you are interested in participating, please let me know and we will get you on the schedule. The testing will take place in our Skinner conference room starting the last week of October and running through November.

TAM Docents: Folk Art Checklist as of 08.24.2011

TAM Docents-

The checklist for Folk Treasures of Mexico: The Nelson A. Rockefeller Collection from the San Antonio Museum of Art is attached (twice). I think you will like the images included which will make studying much easier. I will get label text out to you as soon as it is available. If you have taken the folk art book from the docent desk and you have had it more than a week, please return it so that others may also have a shot at it. The ARC copy is currently out on the exhibition endcap for those that want to read while they are here.
